Collecting & Sending Email via Gmail (Firstserv Guide)

This guide explains how to use your Firstserv email account with Gmail, allowing you to:

  • ✅ Receive emails from your hosting mailbox into Gmail
  • ✅ Send emails using your domain email address from Gmail

Before You Begin

Make sure:

  • ✅ Your email account has been created in cPanel
  • ✅ Your domain has an active SSL certificate
  • ✅ You have your email password and server details

📌 Gmail requires a secure (SSL/TLS) connection, so SSL must be enabled before setup.


Choosing Your Mail Server Settings

There are two ways to configure your mailbox.


Option 1 (Recommended): Use mail.yourdomain

Example

If your domain is:

example.co.uk

Use:

mail.example.co.uk

for incoming and outgoing mail.


Requirements

  • Your domain points to your Firstserv server
  • SSL is active (Let’s Encrypt is issued automatically)

Benefits

✅ No need to reconfigure Gmail if you move servers in future
✅ Cleaner and easier setup


Option 2: Use Server Hostname

  • Uses your hosting server hostname instead
  • No prerequisites

⚠️ You will need to update settings if your hosting changes in future.


Step 1: Add Your Mailbox to Gmail (Receiving Mail)

  1. Log in to your Gmail account
  2. Click the Settings (⚙ icon)See all settings
  3. Go to the Accounts and Import tab
  4. Click:
    Add a POP3 mail account you own
    

Enter Your Email Address

  • Input your full email address
  • Click Next

Enter POP3 Settings

Fill in the following:

  • Username: Your full email address
  • Password: Your mailbox password
  • POP Server:
    • mail.yourdomain.com (recommended)
    • or your server hostname
  • Port: 995

Recommended Options

  • Always use SSL → Enabled
  • Leave a copy on server → Optional
    • Enable if you also use other email apps
  • Label incoming messages → Optional
  • Archive messages → Optional

Click Add Account


Step 2: Enable Sending via Gmail (SMTP)

After adding your mailbox, Gmail will ask if you want to send mail from this address.

Click YesNext


Enter Sender Details

  • Name: Your display name
  • Treat as alias → Enabled

Click Next


Enter SMTP Settings

  • SMTP Server:
    • mail.yourdomain.com (recommended)
    • or your server hostname
  • Port: 587
  • Username: Your full email address
  • Password: Your mailbox password
  • Security: TLS

Click Add Account


Step 3: Verify Your Email Address

Gmail will send a verification code to your email address.

  1. Log in to your email via:
    • Webmail, or
    • Another email client
  2. Copy the verification code
  3. Paste it into Gmail and click Verify

✅ Your setup is now complete


What Happens Now

  • 📥 Emails to your domain will appear in Gmail
  • 📤 You can send emails using your domain address from Gmail
  • 🔄 Gmail will periodically fetch new messages

Important Notes

  • Gmail uses POP3, so emails are retrieved periodically—not instantly
  • For real-time syncing across devices, IMAP clients are recommended
  • If using multiple devices, consider enabling “Leave a copy on server”

Summary

To use your Firstserv mailbox with Gmail:

  1. Add your account via Accounts & Import → POP3
  2. Enter mail server details with SSL
  3. Configure SMTP to send mail
  4. Verify your email address
