Using Manage Team in cPanel (Firstserv Guide)

The Manage Team feature in cPanel allows you to give others access to your hosting account without sharing your main login details.

This is ideal for:

  • βœ… Developers
  • βœ… Designers
  • βœ… Administrators
  • βœ… Team members

What is Manage Team?

Manage Team lets you create additional users who can:

  • Log in to cPanel
  • Access specific features
  • Manage selected parts of your hosting

πŸ‘‰ You control exactly what each user can see and do.

Accessing Manage Team

  1. Log in to cPanel
  2. In the sidebar or search bar, find:
    Manage Team

  3. Click to open the dashboard

Types of Team Users

There are two types of team users:

1. Users with No Role (Basic Access)

  • Can log in to cPanel
  • Can manage their own profile (password, language, contact details)
  • Can access only the services you assign

βœ… Unlimited number of users can be created

2. Users with Roles (Extended Access)

  • All basic user abilities
  • Additional permissions based on assigned roles
  • Can access specific cPanel features or perform admin tasks

⚠️ Maximum of 7 users can have roles assigned

Services vs Roles

βœ… Services (Unlimited Users)

You can enable specific services for any user:

Email

  • Creates a mailbox for the user
  • Allows access via webmail or email client

FTP

  • Provides file access to a specific directory
  • Ideal for developers working on your site

Web Disk (WebDAV)

  • Provides file access similar to FTP
  • Can be mounted as a network drive

πŸ‘‰ Services can be assigned with or without roles

βœ… Roles (Up to 7 Users Total)

Roles provide broader access to cPanel features:

Administrator

  • Almost full access to cPanel
  • Cannot manage other team users

⚠️ Assign only to trusted users

Database

  • Access to:
    • phpMyAdmin
    • Database creation
    • User management

Email

  • Manage email accounts
  • Reset email passwords
  • Create new accounts

Web

  • Access to website features and statistics
  • Can create backups

πŸ‘‰ Does NOT include file access (combine with FTP/Web Disk)

Adding a New Team User

Step-by-Step

  1. In Manage Team, click:

    + Create Team User

  2. Enter:

    • Username (e.g. user@yourdomain.com)
    • Contact email
  3. Choose password setup:

    • βœ… Send activation email
    • βœ… Set password manually
  4. (Optional) Assign:

    • Roles
    • Services
  5. Accept the security notice (if roles are selected)

  6. Click Create

βœ… Your new user is ready

Managing Users

From the Manage Team dashboard, you can:

  • βœ… Edit permissions
  • βœ… Add/remove services
  • βœ… Change roles
  • βœ… Delete users

Example: Web Developer Access

For a typical developer setup:

βœ… Recommended Configuration:

  • Roles:

    • Web
    • Database
  • Services:

    • FTP or Web Disk
  • Directory:

    ~/public_html

    (or the relevant site folder)

πŸ‘‰ This allows:

  • File access
  • Database management
  • Website updates

…while keeping full account control with you.

Important Limitations

  • ⚠️ Only 7 users can have roles assigned
  • βœ… Unlimited users can have services only
  • ⚠️ Only the main cPanel account can manage team users

Best Practices

  • βœ… Assign only necessary permissions
  • βœ… Use roles sparingly
  • βœ… Give Administrator access only to trusted users
  • βœ… Use FTP/Web Disk for controlled file access

Summary

  • Manage Team allows safe sharing of cPanel access
  • Users can be assigned services and/or roles
  • Roles provide broader control (limited to 7 users)
  • Services allow targeted access (unlimited users)
  • Ideal for teams, developers, and collaborators
